ADP Recruitment Center FAQ

The following FAQ was generated based on the questions raised during the ADP Manager Training held on July 17, 2024. Please reach out to your OPC Business Partner with additional questions or concerns. As we receive additional inquiries, we will update this FAQ to include other general information.


1. Where can we find instructions on the steps to utilize the ADP recruitment center?

2. Do we still use the DocuSign HRAF to request a position, or do we create a requisition in ADP instead?

  • Yes, HRAFs will still be required.
  • No, you will not create a requisition. Processing will only be initiated if an HRAF is submitted with the usual required attachments. Once received, your OPC Business Partner will create the requisition to get the job posted in the ADP Career Center

3. Can resumes be made a mandatory part of application submissions?

  • Yes, resumes are currently mandatory for all applications. This feature is selected by OPC upon creation of the job requisition.

4. At times, there are more people involved in the hiring process than the hiring manager. How can they be given access to this part of ADP?

  • At this time, only individuals with supervisory duties or hiring manager responsibilities will be granted access to the recruitment center. All other parties will have to reach out to the hiring manager(s) who can download the applicant鈥檚 information to be shared.
  • If there are individuals that need to be added who are in these approved categories, please include an attachment (email or short word document) containing who should be added to receive notifications. There will be a limit of 3 individuals per post.

5. Why can鈥檛 I see the available applicant communication templates after selecting the appropriate status in the drop down?

  • Please reach out to your OPC Business Partner, as we may need to change certain settings within your individual profile.

6. Are there guidelines on what we can and cannot write in the notes section of the status update and candidate communication piece?

  • Yes, the notes in this section are for internal use only and cannot be viewed by candidates. These notes will be accessible to OPC and other hiring managers associated with the job profile, so please keep all comments professional.

7. Who is responsible for status updates?

  • Hiring managers are responsible for status updates up until the 鈥淰erbal Offer鈥 stage.
  • The OPC will use status updates such as 鈥淥ffer鈥 and 鈥淗ire鈥 to communicate to hiring managers that these steps have been completed.

8. Will ADP send notifications or reminders regarding applications? If there has not been a status change in a month, will ADP send a notification reminder?

  • No, ADP will provide notifications upon receipt of a new application and when a status is changed. The expectation is that hiring managers will need to be responsible for updating applicant status up to the 鈥淰erbal Offer鈥 point.
  • If there has not been an update to an applicant鈥檚 status your OPC Business Partner may reach out to you to update the status.

9. Do applicants receive notifications on the status of their candidate profiles?

  • No, hiring Managers will have to send communication upon making updates to applicant status by selecting and sending the appropriate template.
  • ADP does not automatically send updates to applicants once a status is changed. This is an internal update feature.

10. Can template emails be modified in any way?

  • No, these templates cannot be modified. You will have to reach out to candidates directly if there is any additional information that needs to be relayed.

11. Is it possible to ask for a cover letter along with the resume in hopes of assisting with finding more qualified applicants?

  • Yes, ADP does not have an option to make cover letters required. However, in the current job description template that is provided to OPC when sending the HRAF, you can include in the 鈥淭o Apply鈥 section that you would like a cover letter submitted along with their application. In this section you will also need to make it known if a list of references will be required. OPC will add these preferences to the requisition in the job description.

12. Is there a 鈥渢est鈥 candidate available for hiring managers to interact with for a more hands on training experience?

  • No, ADP does not offer a universal test candidate for hiring manager to access. This is only an internal ADP feature used for training purposes. If you are unsure of certain steps after reviewing the job aid, you can always reach out to your OPC Business Partner for additional guidance.
  • This is a roll out of a new ADP feature, so we expect missteps and questions. OPC is here to support you through this change.

13. Will external job posting sites such as Indeed & Higher Ed still be utilized?

  • Yes, we will still be utilizing these sites, so please continue to indicate on the HRAF if the posting will be internal only or require posting on either of these sites.
  • Through ADP, OPC can route the posting to Indeed. Higher Ed postings will direct applicants to our ADP Career Center.

14. Can internal applicants apply using their own ADP profile?

  • No, internal applicants will need to follow the regular application process if interested in a position. This will ensure all required documents are together within the applicant portal for easier access.

15. Is there a way to upload HRAFs into ADP for the positions and/or candidates?

  • Yes, processed HRAFs will be uploaded to the hired employee鈥檚 profile while requisitions will be transitioned to 鈥淐losed鈥 status and can be easily accessed by OPC if needed at a later date.
